Privacy notice
Plain English: what personal information sport-site collects, why, how long we keep it, and your rights. Last updated 22 October 2026.
1. Who we are
sport-site (sport-site.co.uk) builds and runs websites for football clubs. For the personal information described here, sport-site is the data controller.
Legal name and postal address: [to confirm]
Contact us about privacy or anything in this notice:
- Email: hello@sport-site.co.uk
- Phone: 07767 332601
2. What we collect
When you contact us. If you email or phone us, we get whatever you choose to share: usually your name, your club, your email address or phone number, and details of your enquiry. The enquiry form on our home page does not send anything to us. Pressing the button opens your own email app with a message ready to send, and nothing reaches us unless you send that email yourself.
When you visit the website. Like almost every website, our web server automatically keeps a basic log of requests. Each entry holds your IP address, the date and time, the page or file asked for, the response, your browser's user-agent string (browser and device type) and the referring page, if your browser sends one. We use no analytics or tracking tools.
When you become a customer. If your club signs up, we'll hold the contact details of the people we deal with, what we need to set up and run your club's site, and billing records. When you pay, payment is handled by our payment provider, Stripe. We don't see or store your full card details.
3. Why we use it, and our lawful basis
| What | Why | Lawful basis (UK GDPR) |
|---|---|---|
| Enquiries by email or phone | To reply to you and discuss a website for your club | Legitimate interests (answering people who contact us), or steps before entering a contract at your request |
| Customer details | To provide and support your club's website, and to bill for it | Contract |
| Billing and payment records | Accounting and tax | Legal obligation |
| Server logs | To keep the website running and secure, and to spot and fix errors and abuse | Legitimate interests (running a secure website) |
We don't sell your information, we don't use it for automated decision-making, and we won't add you to a marketing list without asking.
4. Cookies and tracking
This website sets no cookies. It uses no analytics, advertising or social media trackers, and it loads no third-party scripts, so you won't see a cookie banner. Our fonts and images are served from our own server, so visiting our pages doesn't share your details with font or content providers.
The example club site at /demo/hurlford-united/ has a colour-theme switcher. If you use it, your browser stores your choice (one setting called "ss-theme") in its local storage, so the theme stays the same across pages. It stays on your device, it is never sent to us, and you can clear it in your browser settings.
5. Who we share it with
We only share personal information with service providers we need to run the business, and only for that purpose:
- Our hosting provider, which runs the server this website and its logs are on.
- Our domain and email providers, which pass on email sent to hello@sport-site.co.uk.
- Stripe, when you pay, to take payment securely.
We may also share information if the law requires it. Some of these providers may handle data outside the UK, for example in the European Union or the United States. Where they do, appropriate safeguards are in place under UK data protection law, such as adequacy regulations or standard contractual clauses.
6. How long we keep it
- Server logs: rotated daily and deleted automatically after about 14 days.
- Enquiries that don't lead anywhere: up to 12 months after our last contact, then deleted.
- Customer and billing records: for as long as we provide your club's website, then up to 6 years for accounting and tax purposes.
7. Keeping it safe
The whole website is served over HTTPS (encrypted). Server access is restricted, and we keep software up to date. No system is perfectly secure, but we take reasonable steps to protect your information.
8. Your rights
Under UK data protection law you have the right to:
- ask for a copy of the personal information we hold about you
- ask us to correct anything that's wrong or incomplete
- ask us to delete your information
- ask us to restrict how we use it, or object to us using it on the basis of legitimate interests
- ask for information you gave us to be transferred to you or someone else (data portability), where this applies
To use any of these rights, email hello@sport-site.co.uk or call 07767 332601. It's free, and we'll reply within one month.
If you're unhappy with how we've handled your information, please tell us first so we can put it right. You also have the right to complain to the Information Commissioner's Office (ICO), the UK data protection regulator: ico.org.uk/make-a-complaint or 0303 123 1113.
9. Club websites built on sport-site
This notice covers sport-site.co.uk. Each club website we build is run for that club, and the club has its own privacy notice for its visitors, covering things like its contact and sponsor enquiry forms. If you have a question about a club's website, contact the club first.
10. Changes to this notice
We'll update this page if anything changes, for example when new features or services are added. Last updated 22 October 2026.
